Getting started

From nothing to your first tracked session in about five minutes. No account is needed on the Mac or the iPhone; the web app asks for a free one.

1. Install it

  • Mac: download the app (Apple Silicon or Intel, macOS 11 and later), open the disk image and drag ClockedFlow to Applications.
  • iPhone: request an invite on the download page; the app is in beta through TestFlight.
  • Web: try it out in your browser with no account (nothing is saved until you sign up), or create a free account to keep your work.

The first time an app opens it asks three short questions: how you use it (paid client work, or just your own time), which screen you want as home, and whether to keep the timer in the menu bar. Every answer can be changed later in Settings.

2. Add a project

Open Projects from the navbar and press +. A project has a name, a colour (it tints every session on the calendar) and, if you bill for it, a client and a rate. Projects without a client are fine; they just never appear on an invoice.

Add a to-do or two under it. A session is always about something, and picking a to-do when you start is faster than typing a description.

3. Press Start

Back on the record screen, pick the project and to-do on the composer line above the navbar and press Start. The clock runs, the dial fills, and the navbar turns into Pause and End. Or pick a focus block (30, 45 or 60 minutes) and the app will chime and take a 15-minute break for you. How the timer works has every detail.

4. Tidy the day

Open Calendar. Each session is a block in its project's colour. Forgot to stop? Drag the bottom edge up. Forgot to start? Drag on the empty space where you worked. Everything snaps to 15 minutes. The calendar covers the week, month and year views.

5. Set up billing, if you bill

Give each client a default rate in Clients, override it per project where an engagement is priced differently, and turn on Invoice automatically every month on the projects that should bill themselves. On the 1st, at 6am in your timezone, every client with unbilled time gets an invoice. Invoicing explains numbering, rounding and templates.

6. Sync, when you want to

Create a free account from Settings on the Mac or the iPhone and everything you've tracked comes with it. From then on a session started on the phone shows on the Mac within seconds, and the menu bar can pause what the phone started.
