Clients and rates

A client is who gets the invoice. Rates cascade from your profile to the client to the project, and the rate in force is written onto every session as it's recorded.

Two ways to use the app

Settings → Profile has a workspace mode:

  • Billing (the default): clients, rates, billable switches and invoices are everywhere they're needed.
  • Personal: time tracking and to-dos on projects with no clients. Rates and invoicing stay out of the way.

Clients

A client has a name, a company, an email (where invoices are sent), an address and phone for the invoice header, and:

  • a currency. Each client is billed in their own: GBP for London, USD for New York, from one account;
  • a default rate, used by every one of their projects that doesn't set its own;
  • notes, and an archive switch for clients you no longer work with.

A client's page lists their projects, the billable time not yet invoiced, and their invoices.

How a rate is chosen

When a session is recorded, its rate is the first of:

  1. the project's rate, if the project sets one;
  2. the client's default rate;
  3. the default rate on your profile.

That rate is snapshotted onto the entry. Raising a rate in March changes what you record from then on and never rewrites what February was worth. If you do want to re-rate old work, edit the entries themselves.

Money is stored in whole cents and durations in whole seconds; an invoice total is never a rounded float.

Billable and non-billable

Every project has a billable switch, and every session inherits it. Non-billable projects (admin, pitching, learning) stay off invoices but stay in your calendar and Insights, which is the only honest way to see what your effective hourly rate really is. A project with no client is never invoiced, billable or not.

Budgets

A project can carry a budget in hours. The project's page shows time spent against it.
